What You’ll Do:
Our client is seeking a dedicated and passionate Practice Manager (PM) to lead daily operations within their med spa and aesthetics practice. This key leadership role is responsible for overseeing the operational, financial, and personnel management aspects of the business. The ideal candidate will bring strong business acumen, a client-centered approach, and a proven ability to inspire and lead teams.

This is an exciting opportunity to implement and support strategic initiatives that promote operational excellence and long-term growth. The Practice Manager will work closely with both executive leadership and the clinical team to ensure a high-functioning, warm, and professional environment for patients and staff alike.

Key Responsibilities

Operations Management:

  • Oversee daily operations across all departments to ensure smooth and efficient workflow.

  • Optimize scheduling, staffing, and administrative processes to maximize profitability and patient satisfaction.

  • Monitor KPIs and business metrics to identify performance gaps and implement corrective action plans.

  • Ensure compliance with OSHA, HIPAA, and industry regulations.

  • Manage inventory levels, vendor relationships, and supply chain efficiency.

Client Services & Experience:

  • Support the front office team in delivering exceptional, concierge-level service.

  • Oversee patient consultations and maintain conversion rates of 75% or higher.

  • Resolve client concerns quickly and effectively while preserving the spa’s reputation.

  • Implement strategies to enhance the patient experience, including loyalty programs and educational materials.

Financial Oversight:

  • Manage daily financial operations including reconciliation, reporting, and POS oversight.

  • Analyze weekly and monthly performance reports to evaluate revenue, control expenses, and drive profitability.

  • Collaborate with the marketing team to execute promotions, events, and campaigns that support revenue goals.

Personnel Management:

  • Lead staff recruitment, training, and performance evaluation.

  • Conduct daily huddles and structured monthly meetings to align team goals and communication.

  • Implement ongoing internal training focused on KPIs such as rebooking, consultation conversions, and retail sales.

  • Monitor team social media activity to ensure policy compliance and brand integrity.

  • Promote a respectful, professional, and goal-oriented workplace culture.

Administrative Leadership:

  • Improve front desk communication, scheduling protocols, and documentation systems.

  • Manage appointment optimization, including cancellations and patient follow-ups.

  • Ensure accurate, compliant documentation of all patient visits.

  • Work closely with executive leadership to implement and measure strategic initiatives.

Qualifications:

  • 3–5 years of experience in practice or operations management, preferably in a med spa or aesthetic setting.

  • Strong knowledge of med spa workflows, patient experience, and compliance standards.

  • Proven ability to lead high-performing teams and improve operational outcomes using data-driven strategies.

  • Financial acumen with experience in reporting, budgeting, and vendor negotiation.

  • Proficiency with EMR/practice management software and analytics tools.

  • Excellent communication, leadership, and organizational skills.
